- 1. TRANSACTION NUMBER
-
- Enter the transaction (or check number) number
- for this transaction. If the number is of a
- transaction that has previously been recorded,
- it will be recalled. When a transaction has
- been recalled, if the transaction has not been
- posted, it can be amended. If you are writing
- the first check of a month be sure to use the
- check number after the last check number of
- the previous month. However, for Deposits and
- Journal entries you may start out each month
- with transaction number one.

- 2. DEPOSIT, JOURNAL AND VENDOR CODES
-
- These codes are used for recalling recurring
- transactions which have been previously saved.
- A list of the codes may be called up by
- pressing the F5 key. If the transaction you
- are entering has not been previously saved,
- then ignore the code entry by merely pressing
- the Enter key when prompted. If you write a
- check to the Electric Company each month for
- your utility bill, for example, you can save a
- great amount of time by saving the transaction
- and then recalling the information each month
- as you write the check. You can use the amount
- of $0.00 when you save the transaction if the
- amount will vary each month. If your Electric
- Company is named "Washingto Power & Light",
- you might use WP&L for the code. If you select
- an improper name for the code, you will be
- taken to a window from where you can move
- around and select the proper code.

- If your salary is a set amount each month and
- your deducts are the same, you will wish to
- save the deposit transaction of your salary
- for later recall. You might use the code of
- SALA, for example.

- 3. DATE
-
- Enter the date of the transaction. You may use
- the + or - keys to increment or decrement the
- date.

- 4. ACCOUNT NUMBER
-
- Enter the account number of the account you
- wish to either debit or credit. When making
- deposits, the first line of debit or credit
- entries should be used for crediting your bank
- account. When writing checks, the account
- number on the check itself should be for one
- of your bank accounts. The default account
- number for line one of both deposits and
- checks is 111. You may change this to the
- number of another of your bank accounts should
- you so desire.

- For subsequent lines enter the number of the
- account you wish to either debit or credit. If
- you enter a number which is improper, you will
- be taken to a window from which you may make
- the proper selection. If you cannot recall a
- particular number, then enter an incorrect
- number the first numberal of which is the same
- as the number you wish to recall. If you are
- trying to recall the Utility Expense account,
- for example, then you might enter the number
- 5000 (there is no such account) since all
- expense accounts have five as their first
- numeral. You will be taken to the window where
- all of the accounts will be shown with their
- numerals arranged alphabetically. (So that all
- accounts starting with the numeral 5 will be
- together.) The cursor will be positioned as
- close to the numeral 5000 as it can get. From
- there you can move around to select the
- Utility expense account.

- As an alternative you may enter the first few
- letters of the name of the account instead of
- the number. This feature is not case
- sensitive. If the letters you enter are not
- proper, you will be taken to a window from
- which you may move around and select the
- proper account name. You can use this
- procedure in a similar manner to the one in
- the preceding paragraph. Say that you wish to
- credit a tax-free interest account but you
- cannot recall its name. You think that the
- name started with the letters Int. You could
- enter the letters Iaa (not a valid name). You
- would be taken to a window wherein the names
- of the various accounts are arranged
- alphabetically. From there you can move around
- and select the tax-free interest account.

- Only the Detail accounts are shown in the
- windows since you cannot post to Summary
- accounts. (See the Help file when using the
- Amend Accounts Procedure under the Utilities
- Menu.)

- 5. ACCOUNT NAME
-
- The account name is entered automatically when
- the proper account number is entered.
-
- 6. COMMENT OR SOURCE
-
- The use of this entry is optional but it can
- be used to properly identify the transaction
- you are entering.
-
- 7. DEBIT OR CREDIT ENTRIES
-
- You enter the debit or credit amounts for the
- various accounts at these positions. If you
- wish to credit an amount, press the enter key
- when prompted for a debit amount and the
- cursor will automatically move to the credit
- position.

- You are restricted to debiting the first line
- of the Deposit procedure since all deposits to
- your bank account will, of course, be debits.
- Similarly, you are restricted to crediting the
- first line of the Check Writing procedure
- since all checks will be credits to your bank
- account. Be sure that the first line of the
- debits and credits are used for debiting or
- crediting one of your bank accounts when
- making deposits or writing checks.

- The total of debits and credits will be shown
- at the bottom of the screen. They must balance
- before you are permitted to record the
- transaction.

- You may debit or credit as many as 13
- different accounts when making deposits or
- journal entries and as many as 7 when writing
- checks. You may use as few as two different
- different accounts for each of these types of
- transactions since there is a minimum of one
- debit and one credit for a transaction.

- When writing checks, you credit your bank
- account and debit expense accounts. When
- making deposits, you debit your bank account
- and credit income accounts.

- 8. POSTED FLAG
-
- The status of the posted flag will be shown at
- the lower left of the screen. You may amend
- transactions before they are posted but not
- after posting. To amend a transaction, recall
- it by entering its number and then make your
- changes.

- 9. AMEND LIST OF ACCOUNTS
-
- You may go directly to the Amend List of
- Accounts procedure by pressing the F8 key when
- you are writing a check, making a deposit or
- making a journal entry. If, for example, you
- are making a deposit from a new income source
- for which you wish to create a new income
- account, press the F8 key, create the new
- account, return to the Deposit procedure and
- then credit your income to this new account.

- 10. SPECIAL KEYS
-
- The special keys which may be used are shown
- at the bottom of the screen. The Shift key and
- the Tab key pressed at the same time will back
- up one position. The F1 key is for Help. The
- F3 key will delete the current transaction.
- The F4 key will save a transaction for future
- recall. Use it for transactions that you enter
- every month such as paying the telephone bill,
- for example. The F5 key will call up the list
- of codes you have previously saved. The F8 key
- will take you directly to the Amend Accounts
- procedure. It is useful for adding an account
- when you are in the middle of writing a check,
- for example, and you wish to create a new
- account "on the fly". The F9 key is the
- automatic entry key. It works in two ways. If
- line one of the debits and credit lines has
- the amount of $0.00 as an entry, the F9 key
- acts as an adding machine and will determine
- the amount which should be entered on line one
- in order for credits and debits to balance. If
- there is an amount on line one, the F9 key
- will enter the amount on the current line
- which is needed to balance debits and credits.
- The F10 key will process the current
- transaction and move to the next transaction.
- The Escape key will process the current
- transaction and return to the previous menu.
